How refunds and cancellations are handled for payments made through the VBC One app and vbcsjs.com.

1. Overview
This Refund & Cancellation Policy explains how refunds and cancellations are handled for payments made through the “VBC One” application and the website vbcsjs.com. All payments are processed securely through our payment partner, Razorpay.
By making a payment, you agree to this policy.
2. Types of payments
Payments on the Platform may include:
- Donations and contributions to the community;
- Membership or subscription fees (if applicable);
- Booking charges for hostel or guest house facilities;
- Event or program fees (if applicable).
Different rules apply to different payment types, as described below.
3. Donations and contributions
Donations and voluntary contributions to the community are generally non-refundable, as they are applied toward community activities and welfare.
If a donation was made by mistake (for example, a duplicate or incorrect amount), you may request a review by contacting us within [7] days of the transaction. Approved corrections will be refunded to the original payment method.
4. Membership and subscription fees
Membership or subscription fees, where applicable, are non-refundable once the membership period has begun, unless required by law. If you believe you were charged in error, please contact us.
5. Booking cancellations (hostel / guest house)
For hostel or guest house bookings, cancellation and refund eligibility depends on when you cancel:
- Cancellation [X] or more days before check-in: [full / partial] refund;

- No-show or no cancellation: no refund.
The specific cancellation terms and any applicable charges will be shown at the time of booking, and those terms will apply to your booking.
The community reserves the right to cancel a booking due to unavailability or other valid reasons; in such cases, a full refund of the booking amount will be issued.

6. Event and program fees
Refunds for event or program fees, where applicable, will be governed by the terms stated for that specific event at the time of registration.
7. How to request a refund
To request a refund or report a payment issue, contact us with the following details:
- Your name and registered mobile number;
- The transaction date and amount;
- The Razorpay transaction/reference ID (if available);
- The reason for your request.

8. Refund processing and timelines
- Approved refunds are processed to the original payment method used for the transaction.
- Once approved, refunds are typically initiated within [7] working days.
- After we initiate a refund, it may take an additional 5–10 working days (depending on your bank or payment provider) for the amount to reflect in your account.
We are not responsible for delays caused by banks or payment providers beyond our control.
9. Failed or duplicate transactions
If your payment failed but an amount was debited, or if you were charged more than once for the same transaction, the excess or debited amount is normally reversed automatically by the bank or Razorpay. If it is not reversed within [7–10] working days, please contact us with the transaction details and we will assist in resolving it.
10. Changes to this policy
We may update this Refund & Cancellation Policy from time to time. The updated version will be posted on the Platform with a revised “Last updated” date.
